Conclusion - 22 May 2012


In my opinion, I think HRIS is a very useful subject because the theories I had learnt in this subject can be applied in working environment, with a little bit modification to suit better to the reality. apart from that, through this subject, I was given a chance to create a web page that I never had before and I realized that a lot of details need to be taken into consideration to make the system perfect.

          Besides, since IT is more and more common and user-friendly, I think that online system should be used widely in an organization. Not only convenience, time and cost-saving also is the benefit of using online system. Although disadvantages such as lack of personal contact and motivation, but the disadvantages can be encountered by installing communication tools together with training modules and provision of incentives.

          So, in conclusion, I would like to use this opportunity to thank you my lecturer, Dr. Nur Naha and tutor, Mr. Ibrahim for putting efforts to teach us and I really like the experience sharing from Dr. I would also like to thanks my friends giving assistance when we need to do the assignments and during class activities. I had learnt a lot from them. Again, thank you very much to all of them and all the best to all my friends. 

Online Induction System - 15 May 2012


I had learned about the online induction system. In my opinion, the online induction system is a system that can include all the information about the organization to let the employees know more about the organization such as mission, vision, and so on. Besides, I also think that this system actually is very similar to the web-based training program. Actually, the concept is the same; just the information included is different. For web-based training program, only information related to training like training modules, venue, time are showed in the system, but a lot of information about the organization can be found in online induction system. Or in other words, web-based training program can be a subcomponent of online induction system.

         Through this lesson, I think that the implication of online induction system had attracted my attention. The positive and negative implications are as following.

Positive Implication

Reduce the Cost of Induction.
Need Manual Reference
Easier to Compliance, Manage and Report
High Cost
Reduce Number of Employees.
Not apply their skill to train employees.
 
         In my opinion, the implications are also similar with the implications of web-based training program. For example, web-based training program is time and cost saving because no instructors which are external or internal trainers, and training material required (Brown, 2000). This is similar with the point that reduce induction cost and reduce number of employees because not many employees are required to maintain the operation of this system.

        Besides, online induction systems that need manual reference is similar with web-based training that required manual. This is because with manual or reference, the employees may not know how to use the system (Belanger, 2000) and the function of the system cannot be fully utilized.
In conclusion, the online induction system should be used because it is convenient and time saving. This is an important benefit for an organization because it may increase the profits.

Benefits and Services - 8 May 2012


I had learned about the benefits and services. During the lesson, we should learn about the main insurance benefits, retirement benefits, employees’ services benefits and flexible benefit programs. In my opinion, benefits and services for employees are become more and more important because the employees are more concern about the welfare instead of higher salary as higher salaries do not ensure that the welfares of employees are protected. For example, if the salary of an employee is about RM4000, but the other welfares such as medical claims, insurance for work injuries and pensions are not included, he or she will not be satisfied.

         So, nowadays, a lot of organizations, especially international organizations are more concern about the employees’ welfares and start to provide welfares for employees to increase the job satisfaction and reduce the turnover rate (Chen, 2010).

         Surprisingly, the part-time workers are also able to enjoy the benefit. This is different with previous years. I had been work as a part-time worker before, based on my experience, there was no welfare or benefit for part-time workers. However, now there are welfare provided to part-time workers such as medical leaves and health benefits. Besides, benefits for long-term independent contractors are also provided. In my opinion, this is because the organization would like to keep a good relationship with the part-time or contracted workers. So the organization will not face any problems related to shortage of labors.

       In conclusion, the welfare of the employees should not be neglected because the employees had put a lot of efforts to enhance the improvement and achievement of the organizations. So, provide welfare to them can be considered as an appreciation of their effort. Once the employees feel that their efforts are not wasted, neglected by the organization, they will put more efforts willingly just for the sake of organization. This will bring a lot of benefits to the organizations indirectly.

Employee Learning Development (ELD) - 23 April 2012


I had learn Employee Learning Development (ELD), which is a process of enhance employees’ knowledge. It also aims the organizations and employees to achieve the goals, as well as increase the job performance. In my opinion, ELD is a training program that conducted online, instead of the traditional classroom training and computer-based training.

           During the lesson, I had learnt about the advantages and disadvantages of ELD system. First advantage is cost effective and I think that this is because no learning materials and instructors are needed. Besides, ELD system is easier to be assessed, or in other word, it is more convenience. The employees can assess the information about training programs at anytime and anywhere.

          The first disadvantage of ELD system is lack of personal contact. This is because no trainers are required. However, this can be encountered by installing communication tools together with training modules. The second disadvantage of ELD system is lack of motivation. This is because the training program cannot be          completed if employees have low self-motivation. But, this can be encountered by giving incentives.

         In conclusion, i think that ELD system is very useful because its advantages are outweight the disadvantages.

PERFORMANCE MANAGEMENT SYSTEM

During fifth and sixth week, I had learned about Performance Management System. The first thing I learned about this system is Performance Management Cycle, start with performance planning to set objective. Next step is staff and organization, followed by performance and reviewing to check the employees’ achievement.

The next step is action which is reset of objective. This step is important because it links to training and development process. If reset of objective is carried out, the staff and organize process will be carried out or start with the first stage again.

Next thing I learned is the stages of performance management. The performance management stages are as following.


The first stage, planning is process that determine favorable result, behavior and development objective. In my opinion this process is important because the information produced is a guideline for employees to improve and achieve what the organization expected. Without guideline employees do not understand what they need to done and no chance for improvement.

The second stage and third stage, monitor and development can be combined. These two processes are informal feedback, coach and goal adjustment. I think that two way communication between manager and employees is important because this stage because what essential behavior and result can be discussed between them for more understanding.

The fourth stage, review can be considered as formal feedback of employees’ performance. In this stage, written document, summary of employees’ performance are needed. In my opinion, these document can be shown to the employees and they can discuss about their performance and problems faced so that co-operation for finding solution between managerial level and staff can be done. This can improve their relationship quality indirectly.

The last stage is reward. There are two types of rewards which are monetary and non-monetary. I think that reward is necessary for the employees that had improved because employees may feel that it is a appreciation and recognition of organization toward their efforts.

In conclusion, I think that all the steps and stages of performance management system is essential and cannot skip anyone of them because the elements are linked and accuracy of the assessment is depends on the elements.

RECRUITING AND STAFFING

During third and fourth week, I had learned about recruiting and staffing. Actually a lot of methods can be used for recruitment such as advertisement in newspaper. However, this subject is more concern about on-line recruitment.


Recruitment is a very important element and initial stage of HRIS. Definition of recruitment is a process of attracting, screening, and selecting qualified people for a job position. The next stage of HRIS process is selection, which means select appropriate individual for the job position. Lastly is staffing, a process of selecting and train the selected individual to fit into the job function. The main objective of this process is to find suitable people to fill the job position and decrease employees' turnover rate. The flow of the process is as following.



There are a lot of functions and applications of this process such as workforce analysis and planning, sourcing and attract and etc. But I am quite surprising that recruitment also related to deployment and retention because I thought this process is just hiring employees when organization is facing shortage of employees. However, the information shown through this process can let the current employees to understand the requirement of the job and act as a motivator for employees to improve their behavior and attitude if they do not want to get fired.

Although this process produced many advantage such as recruit appropriate candidate in a short time, the disadvantages cannot be neglected. For example, information overloads and limited to user access. Besides, in my opinion, to maintain this process required a lot of time and cost which will affect the organizations’ profit directly. I think this may be the main reason why many organizations are unwilling to sacrifice profit to conduct this on-line process.

In conclusion, we must sacrifice something that we precious before we gain something we want. So, even higher costs are needed for this process, but in the long run we will gain the benefits.

SWOT and PESTLE

During First and second week, I had learned about the competitive of organization. There are two types of competitive which are healthy competition and unhealthy competition. Competitive advantage is the ability of an organization that enables an organization to survive in the business world.

In this chapter, techniques SWOT and PESTLE are introduced. SWOT is quite familiar for me because this technique had been introduced in last semester. SWOT is actually the short form of Strength, Weakness, Opportunity, and Threat. The standard format of SWOT analysis is as following.

Opportunity

Threat

In my opinion, instead of using paragraph, change the data and information into table form make it clearer and easier for understanding. I also think that SWOT is really useful because it help us to analyze the organization current state and problem that may be happen in the future in a systematic way.

For me, PESTLE is a novel thing. PESTLE is similar with SWOT which is an analysis that used to understanding of possible problem that may be faced by organization in future. PESTLE is also the short form of Political, Economical, Social, Technological, Legal, and Environment. All these mean the aspect of the problem that might be encountered by an organization. PESTLE also can be considered as a strategy to improve the organizations’ ability to compete with other organizations.

In conclusion, I believe that the technique, SWOT and PESTLE are useful in analysis of challenges that may face by organization as well as produced appropriate solution to come across the problem. This is the reason why the techniques are so important and we must understand about these techniques so that we can use it in an effective way.

Introduce Myself




My name is Yu Su Sia, final year student of
Industrial and Organizational Psychology of Universiti Teknologi Malaysia. I come from Yong Peng, a lovely place from Johor. My interest is reading, listening to the song and singing.

I create this blog because this is one of the assignments of Human Resource Information System course. I think this is a good chance for me because I can design, edit and create the features I like for my blog and it is useful for me since I am not so good at using computer. I hope that by creating this blog I can understand and get familiar with the function and use the skill in the future.
